Materials Planner and Order Coordinator

The Materials Planner will be responsible for the planning and management for worldwide on-time delivery of wines into our distribution centers. This role will be responsible for the creation of all product specs, required government documentation, and compliance documentation. The role will manage DC inventory and relationships in addition to being the primary contact for suppliers and freight forwarders.

The Order Coordinator will be responsible for the warehouse operations to support United’s alcohol program. This will include outbound transportation on the preferred transportation providers to from the various warehouse provides to the catering kitchens throughout the US and Europe. Also he/she will review station inventory reports, review and approve station requisitions. Ensure open lines of communications with kitchens, airline staff, AMI and all internal and external customers. Become proficient in the Warehouse Management System and Skylog. He/she will be the primary point of contact for the warehouse and catering facilities in the Supply Chain.

Major Responsibilities:

Customer Service: Materials Planner

Interacts with wineries/vendors to provide communication around service issues, PO tracking, or any other daily operational area.
Builds relationships with customers and is the direct contact for any service issues for buyers.
Troubleshoots and proactively identify delivery and inventory issues.
Works with carriers to resolve service disruptions.
Confirm volumes and cycles with suppliers.
Participates in rotational off-hour coverage for emergency calls regarding service failures or other customer needs.
Address critical situations across the operational group by acting as an escalation point and decision maker
Manage relationships with freight forwarders to ensure successful deliveries.
Manage 3-tier distribution relationships.
Customer Service: Order Coordinator

Manage the entire in-flight equipment supply chain from materials arrival in the warehouse, review and approve submitted station inventory counts and requisitions to over 50 catering locations of approximately 300 SKU’s
Forecast, plan, and ensure the worldwide on-time delivery of airline alcohol material
Identify and verify products consumptions and analyze usage trends
Coordinate, check and control all material flow, stock levels and consumption at the kitchen level
Minimize the stock levels in the outstations while reducing their need for emergency shipments
Review scheduled inventory stock counts from the outstations, query unexpected counts figures
Review and process monthly, weekly and daily orders received from the outstations
Coordinate RMA’s (Returns) of surplus equipment at the kitchen level and either redistribute through the network or return to the warehouse
Maintain the system (Skylog) with all relevant master data and correct set-up as required
Track the shipments and update the system accordingly
Operational management of the freight forwarders to ensure successful deliveries
Interact directly with the warehouse staff to provide instructions for regular operations and assistance with problem resolution
Upload CSV files in Skylog for ensure accurate station requisitions
Create and submit relevant reports as scheduled
Perform any special projects or requests as assigned
PO Issue Resolution:

Ensures that deliveries are carried as planned and on time.
Directly communicates all issues to Program Manager to immediately resolve issues.
Addresses service failures and offer fast solutions for recovery.
Manages relationships with DC’s to provide instruction for regular operations, assistance with problem resolution, and escalate issues when necessary.

Coordinate product information to customer at time of contract award.
Monitors product consumption vs forecast to ensure we have sufficient product ordered.
Create product profiles and specs (both internal and external).
Log all inbound PO’s in our appointed system.
Maintain the appointed system with all relevant master data and correct set-up as required.
Liaison with outbound shipping partners
Analysis & Reporting:

Design production and distribution lead time database.
Analyzes and reports unplanned costs while looking to mitigate them.
Maintain order and delivery schedule
Assists in developing and implementing improvement action plans based on service analysis.
Review end user inventory to identify consumption trends
Ensure appropriate stock rotation in DC’s.
Create other relevant reports as directed by Program Manager.
Legal Affairs: Materials Planner

Complete compliance and customs documentation as required.
Complete label registration as required for both federal and state government.
Type & Amount of Experience:

2-3 years of prior work experience in the transportation or supply chain planning required. For Materials Planner
3-5 years account management and warehouse operations experience. For Order Coordinator
Experience in customer service or carrier management highly preferred.
A background of airline industry experience is preferred.
Must be a self-starter and have the ability to work independently, not requiring a high degree of guidance.
Must have the ability to work with varying levels of management, including Senior Executives.
Ability to deliver results through cross-functional collaboration and teamwork.
Strong communication (oral and written) skills needed.
Excellent analytical, time management and multi-tasking skills required.
Additional Type & Amount of Experience for Order Coordinator:

Work experience in material planning, order management and airline business preferred
Practical application of best industry supply chain standards, processes, transportation and warehouse operations
Proficient Microsoft Excel, Word and Outlook and CSV file processing along with a Warehouse Management System and Equipment Management System

Undergraduate degree, with preference in programs relating to Logistics, Transportation and/or Supply Chain preferred, or equivalent work experience. For Materials Planner
College Degree or equivalent in Supply Chain Management, Business Administration, Logistics, or other applicable field. For Order Coordinator.
Technical Expertise:

Microsoft Office Suite (excel, powerpoint, outlook, word)
Ability to understand and extract information from an ERP system and demand planning tool.
Knowledge of transportation industry and factors that influence supply chain
